Job Title: Occupancy Clerk

Job Responsibilities:
Under the supervision of the Executive Director and the Assistant Director, the Occupancy Clerk is the Housing Authority's first contact with the public. The Occupancy Clerk greets applicants, tenants, and other visitors with a helpful and friendly attitude. The Occupancy Clerk assists in performing moderately difficult clerical tasks in keeping financial accounts and records, and in receiving cash payments according to Housing Authority practices. The Occupancy Clerk collects and records rental payments and assists with tenant recertification. The Occupancy Clerk assists in maintaining tenant files, waiting list of applicants, and other tenant-related duties. The Occupancy Clerk will be responsible for obtaining all necessary verifications needed to process applications and to update tenant files. This individual must be certified as a Public Housing Manager within one (l ) year from the date of employment.

Job Duties:
Duties of the Occupancy Clerk will include, but not be limited to, the following activities:

  1. Takes and processes applications for apartments, updates tenant files, and maintains waiting lists and transfer lists.
  2. Obtains all verifications of tenant data as required.
  3. Assists with all related correspondence between Housing Authority, applicant, tenant, employers, and other outside agencies.
  4. Collects payments of rent and other charges and maintains tenant ledger accounts.
  5. Assists in re-certifying all tenants annually and processes interim recertification when needed.
  6. Prepares daily and/or monthly reports as required.
  7. Interview applicants.
  8. Handles and refers incoming calls as needed.
  9. Prepares work orders for maintenance staff and files tenant's copy.
  10. Checks for past criminal and/ or poor credit records of applicants.
  11. Maintains tenant files on a computer system by recording and updating all changes, checks for accuracy in tenant bank deposits, and performs monthly close-out of tenant records.
  12. Provides quality control for housing programs.
  13. Assists other staff members as needed.
  14. Performs other duties as directed by Supervisor.
